WCEA Youth Protection & Mandatory Reporting Policy

Board Document · Adopted July 15, 2026

This is the most operationally critical of WCEA's governance policies — every adult who works with a WCEA student must comply with it before Session 1, no exceptions. It requires a background check through Sterling Volunteers for every coach, mentor, and volunteer, renewed every three years, plus mandatory reporter training under Kentucky law, renewed every two years. A strict two-adult rule applies to every session and event, and a detailed code of conduct governs everything from transportation to social media contact with students. The policy spells out exactly how and when to report suspected abuse — including Kentucky's Child Abuse Hotline — and outlines the consequences for any violation. Every coach, mentor, and volunteer signs a formal acknowledgment of this policy before their first session.
